Organization Settings
Configure your Dictiva workspace: optional modules, organization profile, domain selection, reading typography, language, access and security settings.
Tailoring Your Workspace
Every Dictiva workspace is a self-contained tenant with its own settings, users, and governance data. The Settings area lets you decide which parts of the product your workspace uses, how it looks, and how your team interacts with it.
Open Settings from the top bar of your workspace, next to the Policies menu. Settings is grouped in three sections:
| Section | Tabs | Who sees it |
|---|---|---|
| Me | Profile, Preferences | Everyone |
| Workspace | Modules, Workspace, Access management, Tags, Structure, Email Domains, Single Sign-On, Developer API, Alerts, Billing | Owners and Admins |
| Admin | Activity | Roles with audit log access |
Two Workspace tabs depend on modules: Structure appears once the Organizations module is on, and Developer API appears once the AI & Agents module is on.
Modules
Dictiva starts every workspace with Policies & statements and nothing else. The other areas of the product are optional modules that an administrator turns on when the workspace needs them. This is true for new workspaces and for existing ones: no module is on until someone chooses it.
| Module | What it adds | Default |
|---|---|---|
| Policies & statements | Write, organize, review and publish your policies and statements. Includes domains, the library, glossary, regulations, search and the getting-started checklist. | Always on |
| Organizations | Map teams and organizational structure with groups. Also reveals the Structure tab in Settings. | Off |
| Members | Explore member profiles and their governance responsibilities. | Off |
| AI & Agents | Agent guidance, AI assistance, policy commitment attestations, the agent audit log and the Developer API tab. | Off |
| Processes | Connect policies to your process universe, procedures, risk assessment and business criticality. | Off |
| Acknowledgements | Request acknowledgements and check understanding with comprehension cards. | Off |
Turning a module on or off
- Go to Settings > Modules
- Use the switch next to each optional module
- Click Save changes
Only workspace administrators (Owners and Admins) can change modules. Each module is an independent choice: turning on AI & Agents does not turn on Members, and turning on Members does not turn on Organizations.
What a module switch does, and does not do
A module controls what is visible in the workspace: the entries in the Policies menu, command palette results, getting-started tasks, action counts and the contextual controls on statements and policies. Turning a module off hides its workbench and links. It does not delete anything.
- Existing records, history, memberships and issued acknowledgement links are kept.
- Account access, workspace administration and billing stay available. Turning Members off does not stop an administrator from inviting people in Access management.
- Roles, permissions and plan limits are unchanged. A module never grants access or changes your subscription; the role and plan checks still apply inside a module that is on.
- API keys and integrations keep working.
Anyone who opens a direct link to an area that is turned off sees a short "This area is turned off" page with a way back to policies and statements. Administrators also get a link to the Modules tab.
Workspace Profile
The Workspace tab sets your workspace identity:
- Organization Name: Displayed in the account menu and on exported documents
- Brand Name: Optional short name shown in the workspace header in place of the Dictiva wordmark
- Slug: Your workspace identifier in URLs (set during onboarding, cannot be changed)
- Logo: Appears on published assemblies and PDF exports
- Industry: Used to tailor library suggestions
Only Owners and Admins can modify the workspace profile.
Domain Selection
Governance domains control which content from the library appears in your workspace. Dictiva organizes its 10,000+ governance statements across 33 domains, from Data Governance and Information Security to Data Privacy, Operational Risk and Business Continuity.
How Domain Selection Works
Your plan tier determines how many domains you can select:
| Plan | Domains |
|---|---|
| Community | 1 |
| Professional | 2 |
| Business | 5 |
| Enterprise | Unlimited |
When you select a domain, library content in that domain becomes available for preview. Professional and higher plans can adopt unlocked library statements from selected domains, while statements outside your selected domains remain hidden from the library view.
To change your domains:
- Open the Policies menu and choose Domains
- Add or remove domains
- Confirm
Changes take effect within a few minutes as the content cache refreshes.
Reading Typography
Statements and policy documents are read far more often than they are written, so the reading font is a workspace-wide choice. In Settings > Preferences, the Reading typography section lets an Owner or Admin pick one of twelve reading fonts (EB Garamond is the default). The choice applies to everyone in the workspace and to content only; navigation and metadata keep their existing font. Members who cannot change it still see which font is in use.
Language & Locale
Dictiva supports 8 languages: English, Spanish, French, German, Swedish, Italian, Chinese, and Japanese. The platform uses a layered locale resolution:
- URL path: An explicit locale in the URL (e.g.,
/es/home) takes highest priority - User preference: Each user can set their preferred language in Settings > Preferences
- Tenant default: The organization-wide language set by an Admin
- Fallback: English
Setting Your Preferred Language
- Go to Settings > Preferences
- Select your language from the dropdown
- Click Save
The interface, navigation, and system messages switch immediately. Governance content (statements, assemblies) remains in its authored language: Dictiva does not auto-translate user-created content. See Language Support for details.
Access and Security
Access management
The Access management tab is where Owners and Admins invite people, assign roles and remove members. It is part of core workspace administration, so it is available whether or not the Members module is on. See User Management & Roles.
Email Domains
Restrict who can join your workspace by email domain. When enabled, only users with email addresses matching your allowlist can accept invitations or sign up.
- Go to Settings > Email Domains
- Add allowed email domains (e.g.,
yourcompany.com) - Save
This is especially useful for Enterprise tenants who want to prevent personal email addresses from accessing governance data.
Single Sign-On and Authentication
Dictiva uses passwordless authentication by default: users sign in via magic links sent to their email. Password-based authentication is available as a fallback. SSO via SAML is configured in Settings > Single Sign-On and is available on the Business and Enterprise plans.
User Preferences
Each user can customize their own experience without affecting the workspace:
| Setting | Options | Default |
|---|---|---|
| Language | en, es, fr, de, sv, it, zh, ja | Tenant default |
| Appearance | Workspace theme and personal theme, where your plan allows a personal choice | Workspace theme |
| Notifications | Email notification preferences are not yet configurable | All enabled |
Preferences are accessed via Settings > Preferences and apply only to the logged-in user.
Getting Started Checklist
New workspaces have a Getting Started page, reachable from the Policies menu, that tracks setup progress in five tiers: account setup, core features, team, amplification and advanced. Each task links to the relevant part of the platform and earns AI credits when completed. Tasks that belong to a module that is turned off (for example inviting members or requesting an acknowledgement) stay hidden until an administrator turns that module on.
Next Steps
- Manage user roles and permissions
- Configure billing and plan features
- Generate API keys for programmatic access (requires the AI & Agents module)
